Privacy Policy

This policy covers hiringsetu.com and the Hiring Setu application, operated for boutique recruitment consultancies and independent recruiters in India. It applies to three kinds of people: visitors to this website, recruiters who create an account (“you”, the customer), and the candidates whose information a recruiter uploads or requests through the product.

For candidate data specifically: your recruiter — not Hiring Setu — decides what to collect from you and why. We process it on their behalf, as described below.

Account data — when you sign up: your name, business name, email or phone, and password (stored hashed, never in plain text).

Candidate data — resumes and anything extracted from them (name, contact details, skills, experience), call notes, CTC/expectations a recruiter logs, and any documents (ID, payslips, offer letters, etc.) a candidate uploads through a recruiter’s document-collection link.

Payment data — handled directly by Razorpay, our payment processor. We receive confirmation that a payment succeeded; we never see or store your full card number.

Site analytics — if you accept the cookie banner, Google Analytics collects anonymised usage data (pages visited, general location, device type) to help us understand what’s working. See “Cookies” below for how to opt out.

• To run the product: score resumes against a job description, build the candidate tracker, generate document-request links, and prepare WhatsApp messages.
• To operate your account: authentication, billing, and support.
• To improve the product and this website — in aggregate, not by reading individual candidates’ documents for any purpose beyond what the recruiter requested.
• To meet legal obligations, such as maintaining records for payments.

We do not sell personal data, and we do not use candidate data to train third-party AI models beyond the one-time processing needed to extract fields from a resume or check an uploaded document (see “AI processing” below).

Resume text and uploaded documents are sent to a large-language-model provider (currently Groq) to extract structured fields (name, skills, experience) and to check whether an uploaded document matches what was requested. This happens automatically as part of the product’s core function — a recruiter always makes the final call on any score or document decision; the model never rejects a candidate or a document on its own.

• Database: hosted on Neon (PostgreSQL), with candidate and account data isolated per business — one consultancy can never see another’s data.
• Files (resumes, documents): stored in Amazon Web Services (AWS) S3, encrypted at rest, scoped per account.
• The application itself runs on AWS infrastructure.

Hiring Setu does not send WhatsApp messages on your behalf and does not have access to WhatsApp Business API. Instead, it opens a pre-filled message in WhatsApp on your own device, sent from your own number when you press send. We don’t see or store delivery status or replies — you log the outcome yourself in the tracker.

This site uses Google Analytics to understand traffic and how visitors use it. It only runs after you accept the cookie banner shown on your first visit — declining keeps analytics in a cookie-free, anonymised mode. You can change your choice at any time by clearing your browser’s site data for hiringsetu.com, which will show the banner again.

Account and candidate data is kept for as long as your account is active. If a recruiter removes a candidate from the tracker, that candidate’s record is marked removed and excluded from normal views; it isn’t immediately purged, to preserve an audit trail. You can request full deletion of your account and its data at any time by emailing us (below).

Under India’s Digital Personal Data Protection Act (DPDP Act) and generally, you can ask to access, correct, or delete personal data we hold about you. Recruiters manage this directly inside the product for their candidates’ data; anyone — recruiter, candidate, or site visitor — can also email us directly and we’ll act on it.
